Register and display in SLU research and EMA database

If you work at SLU, you can use SLU’s research and environmental monitoring and assessment database to register publications, datasets and activities. The database is used to highlight and make the university’s scientific results accessible.

  • The system uses SLU’s single sign-on. You log in using your usual AD account.

Publications

All peer-reviewed publications must be registered in the database, in accordance with SLU’s policy for scientific publishing. Publications published by SLU must be registered and made openly available. It is also recommended that other types of publications are registered.

The data in the database is also used for monitoring and the allocation of funds within SLU.

The library imports from Scopus and Web of science

The library continuously imports new publications affiliated with SLU from the Scopus and Web of science databases. You therefore do not need to register these yourself.

You can import older publications or those published at another university yourself via Scopus or Web of science. It is also possible to import from files in BibTeX and RIS formats.

Register publications manually

Publications that are not available in Scopus or Web of science must be registered manually in the database.

When you register a publication, you can also upload the full text to make the publication openly available.

After registration or import

Once you have registered or imported a publication, the entry is reviewed by the library, which will add any missing details if necessary. The publication is then published in the public search interface and you will receive a confirmation email.

You can update the information about a publication at any time. It will then be resubmitted to the library for review.

Datasets

Datasets published in an external repository can be registered in the database. You register information about the dataset, but the dataset itself is not uploaded to the system.

Datasets can be registered manually or imported from DataCite. You can also link datasets to publications in the database.

Datasets are also reviewed and supplemented by the library where necessary.

Activities

You can register activities such as conference presentations, membership of networks or boards, and supervision.

Registration of activities is optional. The information is not used for the allocation of funds and is not reviewed by the library.

Update your profile

All active researchers and environmental assessment analysts have a public profile page. Basic details are retrieved from SLU’s identity management system, Omada. You can add further information to your profile yourself, such as your areas of expertise and a personal introduction.

If your profile page is not visible in the public interface, you can click on “edit profile” and change the visibility to “public” at the bottom of the form.

Connection to your profile page on slu.se

If you have a profile page on the SLU website, it is automatically linked to your profile in the SLU research and EMA database. You can choose how much information you want to display on each page.

Link your ORCID

In your profile, you can create or link your ORCID. ORCID is an international researcher ID used to identify authors and link publications to the correct person. It also improves the import functionality from Scopus and Web of science.

Grant access to a colleague

You can give a colleague permission to update information in your account, for example to register publications on your behalf. You can do this by adding the person as a “trusted user” in your user settings.

Download reports

Once you are logged in, you can download reports in various formats. You can search all content and filter by, for example, organisation, publication type, publication year and programme tag.

Here’s how:

  1. Go to Personal overview
  2. Select Publications, Activities or Datasets
  3. Remove the “My content” filter
  4. Search and filter all content

Publishing policy and guidelines

In order for a publication to be registered in SLU Research and EMA database, it must:

  1. Be published, either in print or electronically.
    • If SLU or one of its units is the publisher of a publication, it is normally considered to be published when it is registered in the database and the full text is made available.
  2. Has a clear link to SLU in one of the following ways:
    • The publication was written as part of at least one of the authors' employment at SLU.
    • The author is employed at SLU and registers their publications, even if they have an external affiliation.
    • The publication is published by SLU (or one of its faculties, departments or other organisational units).

In addition, the following applies:

  • The publication must be aimed at the research community and/or the general public.
  • The affiliation in the publication must reflect the author's employment at the time of the publication.
  • The publication must be verifiable, either through a link or an attached copy.
  • The title, year of publication, author and publisher (or underlying organisation) must be given.
    • Only those who are listed as authors in the publication (or can be linked to a group authorship) can be linked to the record in the database.

In order for a full text to be published in the database, it is required that:

  1. The publication meets the criteria above.
  2. The publication has a clear connection to SLU in one of the following ways:
    • The publication was written as part of the employment of at least one of the authors at SLU.
    • The publication is published by SLU (or one of its faculties, departments or other organisational units).
  3. Permission for publication has been granted by the copyright holder.

SLU Research and EMA database is used to make the university's research visible. Anything published by SLU researchers must be registered. To ensure that the information is up to date and of high quality, there are clear guidelines on who is responsible for what.

Division of responsibilities

SLU staff must:
  • Ensure that the previous year's publications are registered in SLU Research and EMA database by January.
  • Upload a version of their peer-reviewed articles that can be made available via the database, if they are not already openly available.
  • Register their ORCID in the database.
The head of department or equivalent must:
  • Annually verify and approve publications affiliated with the department, according to the library's records.
The library is responsible for:
  • Quality assurance of metadata in the database.
  • Provide documentation for verification of publications and authors' institutional affiliation.
