Registering course credits in Ladok

Page reviewed:  03/08/2026

All course credits are registered in the Ladok system. The process differs depending on the type of course. The steps below describe what the main supervisor needs to do for each course.

Courses

Credits for subject courses and general courses taken at SLU are registered automatically. The course leader sends the results to forskarutbildning-LTV@slu.se for registration in Ladok.

No action is required from the doctoral student or supervisor.

The doctoral students sends their course certificate to the main supervisor. After approval, the main supervisor forwards it to forskarutbildning-LTV@slu.se for registration in Ladok.

The main supervisor acts as examiner for the EPU pedagogical courses and SLU library courses.

The main supervisor sends an email to the faculty study director of doctoral education stating their approval for the doctoral student to be awarded X credits for course Y as part of their research education. Attach the course certificate and course syllabus to the email.

The main supervisor sends an email to the faculty study director of doctoral education stating:

  • approval for the doctoral student to be awarded X credits for course Y
  • a justification of why the course is relevant to the doctoral student’s research education
  • a recommended number of credits (the maximum is half the original credits for master courses; 3 credits for MOOCs)

Attach the course certificate and course syllabus to the email.

LTV doctoral students may earn credits for four types of individual PhD courses: Introductory paper; Individual subject course; Seminar series; and Conference.

The registration procedure depends on the type of individual course:

Introductory paper (10 credits)

The main supervisor writes a course certificate and sends it together with the introductory paper to the Faculty study director of doctoral education for assessment within the first two years of doctoral studies.

Individual subject course (1-15 credits)

Note that the course syllabus must be approved by the Doctoral education committee (Fun) before the course begins. The main supervisor or another senior researcher (e.g. a co-supervisor) writes the course syllabus and submits it to forskarutbildning-LTV@slu.se.

Upon course completion, the examiner (usually the main supervisor) writes a course certificate, which should be sent by the main supervisor to the faculty study director of doctoral education for assessment.

Conference (3 credits)

Note: credits for a conference course can only be awarded once.

The main supervisor sends an email to the faculty study director of doctoral education stating approval for the doctoral student to be awarded 3 credits for the conference course. The email should include the name of the conference, the dates, and the title of the doctoral student’s oral or poster presentation. Attach the conference certificate (if received) or a page from the conference programme listing the doctoral student’s presentation.

A course taken before the admission to doctoral education or undergraduate course

Doctoral students can also claim credits for courses taken before the admission to doctoral education or undergraduate courses(second cycle degree).

In these cases you have to apply to the doctoral education committee at the LTV Faculty (Fun-LTV) for credit transfer. Use the application form [Application for crediting of course – doctoral education]. Attach the course syllabus and course certificate to the application. Send the application form to forskarutbildning-LTV@slu.se.

General (basic) course

A doctoral student who has completed a general (basic) course with similar content at another university may apply to the doctoral education committee (Fun-LTV) at the LTV Faculty for a credit transfer. The application must include a clear justification from the main supervisor. Use the application form [Application for crediting of course – doctoral education]. Attach the course syllabus and course certificate to the application. Send the application form to forskarutbildning-LTV@slu.se.
